Challenge

The company we partnered with found themselves navigating through vast arrays of unstructured data - a common scenario in a domain where the influx of information is continuous and diverse.
Before our collaboration, the team needed a centralized CRM system. Their aim was clear: to establish a robust system that could meticulously structure the coaching and learning process for a sales rep.
The prime challenge was that common CRM structures could not satisfy the company’s needs. With such a wide range of conditions, it also seemed impossible to find an out-of-the-box solution. That’s why the only way for the company was to create a fully custom CRM with artificial intelligence integration.
Getting started here, we took on a mission to craft a no-code solution that would not only structure the scattered data but also make way for a seamless, efficient workflow where every interaction with a lead is logged, analyzed, and optimized using the power of Artificial Intelligence.
Our goal was simple yet profound: to create a CRM with AI assistance to transform their data landscape from a disorganized wilderness into a well-mapped territory, where insights lead to informed decisions and strategies that resonate with their ultimate business objectives.
Long story short, we had to think through algorithms and data flows, seamlessly integrate AI into Bubble, and ensure no limitations after the integration.

Solution

As a result, we integrated AI to improve the CRM system for corporate coaching. It was designed to help managers and employees interact better and provide tailored coaching. We made it a B2B tool sold directly to companies, enabling them to reap the benefits of payment provider technology without going through a complex integration process.
Our solution encompassed the following features:
  • Coaching Modules: Designed for managers to coach employees effectively, addressing individual struggles and facilitating growth.
  • Interactive Sessions: A platform to organize prep sessions and generate coaching summaries based on individual progress.
  • Customized Challenges: A feature that allows managers to select challenge categories from a prebuilt list, tailoring the coaching experience based on specific requirements.
  • Flexible Company Outlines: Enabling new companies to select their specific needs would dictate the framework for the company within the system.
  • Collaborative Work Environment: A structure where team members can interact with multiple managers, fostering a collaborative and dynamic work environment.
  • Multi-Tenant Admin Access: Providing administrative access to each company to oversee and manage their operations efficiently.
  • Assistive Features: The ‘Get Help’ button should be available on each page screen so the user can request help from another manager. This button should be able to pull all the relevant details from the current screen and provide a place for the user to enter additional text to explain the issue. When the button is clicked, an automated email should be sent to the other manager with all the details and the user's input to address the issue quickly and accurately. This feature should be intuitive and easy to use to ensure that getting help is effortless.
To improve the user experience and increase the functionality of the CRM system, we integrated AI capabilities focusing on:
  • Learning Assistance: Using AI to help users dissect and comprehend lengthy articles, enhancing the learning process.
  • Mentorship Guidance: AI assists in understanding the current status of the mentee, helping to generate actionable insights for mentors to plan the next set of tasks effectively.

Technical Solution

In this case, our objective was to sculpt a CRM system that was both intuitive and enhanced with Artificial Intelligence to aid the sales representatives in their journey.
Here’s how we did it.
The heart of the solution was the Bubble API connector, an out-of-the-box tool that facilitates data exchange, making the integration process smooth and straightforward.
To enhance the communication efficiency for the CRM users, we leveraged ChatGPT. This feature brought in a new level of interactive communication by helping simplify and summarize information directly and via links and files. The coolest part was GPT's capability to understand the gist of the information, serving as an assistant that could offer insights and suggestions, enhancing the efficacy of the sales representatives.
Using the API key from GPT via REST protocol, we ensured a secure and reliable channel to foster communication between the systems. In the structured data format of JSON, we streamlined the data handling process, ensuring accuracy and efficiency in data transactions.
Furthermore, we integrated the system with Slack, greatly simplifying team collaboration.
Lastly, the visual data representation was the cherry on top of this tech ensemble.
The graphs and charts we’ve built based on the CRM data provide a clear, concise, and visually appealing display of data, a potent tool for strategizing and decision-making.
As we navigated through this phase, we equipped the sales coaching company with a CRM system that structures processes and helps them carve new avenues in their business journey.
